Please find herewith a précis of a recent innovation that Kinetic has undertaken with a client. The innovation of this tool came out of a situation where Kinetic and the client needed a methodology of receiving and tracking orders whilst at the same time negating maverick spend and benchmarking the performance of 2nd tier suppliers in relation to the agreed Service Level Agreement.
Web Based Vendor Managed Service tool
Kinetic’s client extranet web based solution is designed to manage a disparate number of sites supported not only by Kinetic but by any number of 2nd tier suppliers. The web based tool allows total transparency to the full process from client order through to Kinetic fulfilment, including brake down by Site, Department and Individual Order. The system was designed with full consultation from the client, and was not - as often happens in many cases - an off the shelf package customised to suit both parties. This represented significant cost savings to the client as well as ensuring the final solution met all of the clients needs with no compromise.
Orders are placed via an extranet system with a series of drop down menus that have all the job specifications, pay and charge rates, as well as details of any specific requirements available via a series of clicks. Each order is time and date stamped and can be tracked by the end user through the entire purchasing process. The time and date stamp ensures that SLA requirements regarding speed of response and order fulfilment are visible throughout the entire process.
Client HR / Purchasing is enabled with a full, real time, log of all orders placed by department and site and a running total of monthly spend. Weekly email timesheets give end users an instant weekly spend calculation for their own records to ensure temporary spend does not exceed site parameters.
Electronic Invoicing and Payment
Kinetic provide flexible payment facilities and we will adapt our processes to meet our clients exacting requirements. For the scenario above the following would typically apply. Kinetic provide the client with a consolidated monthly invoice behind which sits full detail and breakdown of site, department, etc. This invoice is collated in real time from our fully functional electronic time-sheeting. So in effect, when the line managers confirms the workers timesheet the invoice is updated automatically and once the monthly cut off is reached, the clients end user receives this consolidated invoice.
